How to Start Your Own Coffee Brand: What 6 Weeks Really Looks Like

Launching a private label coffee brand takes 6 to 8 weeks from first strategic call to first production lot. That's the real number — and packaging, not sourcing, is the delay that breaks it.

Launching a private label coffee brand takes 6 to 8 weeks from first strategic call to first production lot. That's the real number. Most brands don't hit it because they show up expecting coffee when they haven't approved their packaging yet.

We've developed private label projects for retail brands and high-volume concepts. The timeline is real. The caveat is just as real.

The clock doesn't start when you call

The production timeline begins the moment you've approved three things: the mechanical layouts for your packaging, the final identity design, and the print validation. Industrial custom packaging has its own lead times that run parallel to sensory profiling. If you start those processes at the same time, you hit 6 to 8 weeks. If you call us first and handle packaging later, add 3 to 6 weeks.

This is the number-one delay we see in first-time private label projects. Not sourcing. Not production. Packaging validation.

Weeks 1-2: sensory profiling

Your first meeting is a sensory alignment session, not a price negotiation. We run your target profile through our lab with Q Graders certified by CQI and SCA Professional, testing for replicability, not just quality.

A coffee that scores 84 on the first cupping and 79 on the second isn't a product. It's a sample. Before we commit to a profile, we run density measurements, moisture content, colorimetry (Agtron), and grind granulometry across espresso (200um), filter (400um), and French press (700um). You get a technical data sheet with every parameter on every reorder.

Minimum volume to start: 500 to 1,000 kg of finished, packaged coffee per SKU.

What you're buying when you source from a manufacturer at origin

Our network includes 75 integrated producer families across Chiapas, Veracruz, Oaxaca, and Puebla. We run a rotative inventory system with 12-month continuous availability. The lot your customer buys in December runs on the same sensory profile as the lot from March. That's not luck. It's genetic replicability via in vitro plant propagation and digitally controlled roast curves documented in Cropster for every lot — the same model behind our green coffee sourcing network.

Three mistakes US brands make in their first private label

Sourcing seasonal single-lot coffees. A specialty bar lot might score 87 and taste exceptional. It's also available for 90 days, from one harvest, at a volume that doesn't scale. When that lot is gone, your product tastes different. Reorders don't happen.

Ignoring shelf-life engineering. Coffee sold through US distribution centers needs to survive logistics. Trilaminate packaging with a one-way degassing valve, combined with roast curves optimized for shelf-life, gets you 12 to 18 months of guaranteed freshness. Without that engineering, you're hoping.

No per-lot physicochemical reporting. Any institutional buyer will eventually ask for moisture content, water activity (aw), density, and Agtron colorimetry for the last three lots. You want those documents in your supply chain documentation every reorder, automatically.

Compliance travels with the coffee

Transxpo operates under FSSC 22000. Your compliance documentation ships with the coffee. We also handle DDP logistics to the US, which means we clear customs, manage the FDA Prior Notice, and deliver nationalized to your warehouse. Your team receives coffee, not paperwork.

Frequently asked questions — starting a coffee brand

How long does it really take to launch a private label coffee brand?

6 to 8 weeks if packaging approval (mechanical layouts, identity design, print validation) runs in parallel with sensory profiling. If you handle packaging after sourcing, add 3 to 6 weeks. Packaging validation, not sourcing, is the most common delay.

What's the minimum volume to start a private label SKU?

500 to 1,000 kg of finished, packaged coffee per SKU for a pilot lot.

Why does seasonal single-lot coffee cause reorder problems?

A specialty lot available for 90 days from one harvest doesn't scale. Once it's gone, your product's flavor profile changes and reorders stop matching what the customer bought the first time.

Do you handle DDP shipping and FDA compliance?

Yes. We clear customs, manage the FDA Prior Notice, and deliver nationalized directly to your warehouse under FSSC 22000 compliance documentation shipped with every lot.

If you want to spec a profile and understand whether your target volume and timeline are realistic, request the technical data sheet for any origin in our private label program.
