Green Coffee Wholesale: 8 Things to Verify Before You Sign an Annual Contract

Most brands pick their green coffee supplier based on price and a single pre-shipment sample. That's how year-2 supplier problems start.

Green coffee is the most critical raw material for any coffee brand. You can get packaging, marketing, and distribution right, and still have a quality failure at the source that kills reorders. In most cases the root cause isn't bad coffee. It's a supplier relationship built on too little verification up front.

These are the 8 questions your procurement team should have documented answers to before committing to an annual supply contract.

1. Can they trace to the individual farm?

Batch traceability isn't optional. A credible supplier should be able to hand you the farm code, altitude in masl, botanical variety, harvest date, and post-harvest method for each lot. If the answer is "it's a regional blend" without that data, you're buying a commodity without the documentation to back your quality claims.

2. Do they send a pre-shipment sample before the lot ships?

A type sample shows you what the coffee should be. A pre-shipment sample (PSS) shows you what's actually going in your container. Those two can differ. Your contract should require PSS approval before the lot leaves origin, with a clear non-conformance clause if the physical lot doesn't match.

3. Has the lot been tested for ochratoxin A?

Ochratoxin A (OTA) is a mycotoxin regulated at 5 ppb in roasted coffee and 10 ppb in green coffee under EU rules. Suppliers exporting to regulated markets need lab-certified OTA analysis per lot from an accredited laboratory before dispatch. Don't assume it's been done. Ask for the report before every shipment.

4. Can they show you a climatized warehouse with 4-6 months of rotating stock?

Continuous 365-day supply requires inventory you can see. Ask for a warehouse visit or photo documentation of current stock: 50-60% relative humidity, 18-22°C, with dated rotation records. A supplier who "sources when you order" can't protect you from a climate event in the origin region.

5. Do they operate in more than one growing region?

Single-region sourcing creates concentrated climate risk. Frost in one zone, drought in another, a leaf rust outbreak at mid-altitude. Any of these can wipe out a full harvest season. 6. Is pricing structured as C-Market plus a differential?

Green coffee prices reference the ICE Futures NY C-Market for arabica. Serious buyers don't purchase at spot price. The structure is C + differential, where the differential reflects SCA score, origin, certifications, and processing method. A supplier quoting a fixed FOB price without explaining the differential is either adding an undisclosed margin or has no hedge strategy. For annual contracts over 100 MT, we structure price-to-be-fixed agreements that let you fix the C component in portions over the contract period, protecting against volatility spikes.

7. Are they FSSC 22000 certified?

FSSC 22000 is the food safety management standard most institutional buyers in the US and EU now require as a baseline. It covers hazard analysis, prerequisite programs, and recall plan requirements. A supplier without it isn't automatically disqualified, but your compliance team will flag it, and FDA secondary inspections take longer. We run FSSC 22000 across our entire operation, which is one reason our DDP shipments consistently clear US customs without secondary holds.

8. Do they deliver DDP or only FOB?

FOB means the cargo is yours the moment it clears origin customs. DDP means the supplier handles export clearance, ocean freight, import documentation, and delivery to your distribution center. For brands without an in-house import team or a freight forwarder relationship, DDP removes a lot of operational risk. We handle the full export chain, including FDA Prior Notice, certificate of origin, and FSVP compliance, before the container crosses the US border.
